Introduction:

NAPE is the Nigerian Association of Petroleum Explorationist. The largest professional association of petroleum geologists and related disciplines in Nigeria and Africa. NAPE is a professional society to fosters both social and technical interaction among professionals. Its members include geologists, geophysicists, CEOs, managers, consultants, students, and academicians.

The society, which began in August 1975 now has 12,073 individual members and 173 supporting corporate members. The mission of NAPE is to promote the study and practice of petroleum geosciences for the benefit of members and other stakeholders.

Every year NAPE organizes an annual conference. NAPE wanted to organize its 39th conference in 2021. It was the largest gathering of oil and gas explorationist and geoscientists in Africa. The NAPE conferences are the single avenues for cross-exchange of corporate ideas, industry and policy advocacy, technical knowledge sharing, and networking opportunities. The 39th edition of this conference was focused on the post-pandemic opportunities and how we must continue to advocate and present our ideas to find oil and gas. This conference was organized to think about petroleum exploration and production in a new world, what next after the global crisis with expert speakers and panelists.

NAPE wanted to host this 5-day conference in hybrid mode with most of the keynote sessions to be held virtually.

The Challenge:

During this conference, NAPE wanted to host various virtual sessions and presentations, alumni meetings, networking sessions, and lastly the recognition awards. NAPE was looking for a platform that would seamlessly cater to 1000+ participants for this conference and a platform that would provide an immersive real-life-like experience to its attendees.

Below are some of the requirements from NAPE-

  1. All the virtual sessions, workshops, and presentations must run parallelly throughout all the 5-days of the conference.

  2. Networking zone for students, consultants, geoscientists, geologists, and others for socializing and quick networking.

  3. Providing immersive experience and attendee engagement.

Here is how NAPE has pulled off their 5 - Day Hybrid Conference.

Hosting parallel sessions with multiple auditoriums:

One of the main requirements from NAPE was to run all the virtual sessions parallelly for different sets of audiences. So we offered our multiple auditoriums feature that can add multiple auditoriums to the event and one can run multiple parallel sessions in them. Using the Vibo’s capability of adding one or more auditoriums to the event, the NAPE team has created and added 8 different auditoriums in the conference and named them according to their area of exploration like America Hall, Antarctica Hall,, Australia Hall, Europe Hall and 3x Asia-Africa Hall and allotted the sessions to them according to the zone.

Networking Zone for participants for socializing and ideas sharing:

At Vibo we provide a special zone named as Networking Zone suing which participants can connect with other participants on a quick call for socializing and ideas sharing. There are 3 types of tables provided in the Networking lounge 2-chair, 4-hair, and 8-chair.

NAPE used this networking lounge for students, consultants, geoscientists, geologists, and others for socializing and quick networking with each other. The participants used the networking lounge and connected with other professionals and got some valuable insights,

Attendees’ participation and engagement during the conference

To engage attendees during the event, there are multiple features we have provided to the NAPE. Using these features attendees interacted during the event.

A. Q&A: With this attendees asked questions to the speakers via chat.

B. Common chat: A common chat group is provided to the attendees using which they have interacted with each other.

C. Reactions: Attendees sent their reactions to the sessions using the reaction emoticons.

D. Polls: Organizers sent the polls to engage attendees. NAPE used this feature to get valuable insights from the attendees. NAPE used the polls feature for sending surveys and feedback.

E. Announcements: The NAPE team used announcement features to send notifications in the event. Using this they sent all the updates related to the event and redirected attendees to other zones of the event.

The Awards and Recognition Night was organized at the physical auditorium. That award show was live telecasted on the platform for virtual attendees.

Results and Conclusion:

This is how NAPE hosted its annual NAPE oil and gas conference on Vibo and provided an immersive and interactive experience to its attendees. With this, the multiple auditorium and parallel sessions feature was available on Vibo.
