Universitas Pembangunan Jaya (UPJ) is a private university in South Tangerang, Banten, Indonesia. UPJ was founded through the long experience of the Jaya group which has given rise to various property masterpieces and monumental infrastructure developments in DKI Jaya and 25 cities in Indonesia as well as experience in providing quality primary and secondary education since 1992. The Urban Partnership Melting Pot was part of UPJ’s collaboration with Humboldt Kolleg, which called Humboldt Melting POT which aims to strengthen regional professional cooperation networks among alumni (Humboldtians).

Every year Universitas Pembangunan Jaya (UPJ) holds multiple events and melting pots. The main aim of holding this melting pot event was to bring researchers who have made fundamental contributions to the development of science. In this melting pot researchers, speakers, and participants from various countries around the globe participated. The main aim of this event was to seek to answer the challenges of urban planning needs and the comprehensive problems of urban residents. With this melting pot, they also want to introduce and increase the interest and enthusiasm of young researchers toward the Alexander von Humboldt Foundation (AvH) program.

This melting pot was held for 4 days. UPJ was expecting some 2500+ attendees for this event. During this melting pot, UPJ wants to hold a conference with live sessions throughout all 4-days of the event.

The Problem:

As the pandemic hit, there generated the need for virtual events and one of the main challenges in hosting a virtual event was to engage the audience and give the experience like in-person events. UPJ was expecting some 2500+ attendees for this events, so they wanted a platform that can cater to this huge audience seamlessly. UPJ was looking for the user friendly platform, that allows them to hold multiple sessions in different auditoriums at the same time.

Below are some of their requirements for the event-

  1. Parallel sessions to cater different audiences.

  2. Virtual booths for exhibitors and sponsors. (Both 2D and 3D)

  3. An exhibition hall to showcase the research papers on urban planning published by researchers around the globe.

  4. The researchers should be there on their respective research papers to interact with attendees.

Solution:

Gallery to showcase research papers published by researchers:

As mentioned earlier the main challenge was to create an area which provides immersive and in-person experience to the attendees. Keeping this in mind, we have developed an Art Gallery Hall in which all the research papers were shown just like the art galleries where paintings are shown on different canvas mounted on walls.

A. We have created a backend dashboard specially for researchers where they have uploaded their research paper in an image format that were shown on canvas in art exhibition hall.

B. A video pop-up screen where researchers added an explanatory video of their research.

C. We have also provided a PDF file section where researchers uploaded the pdf files related to their research (or whatever they want to show to attendees).

D. A chat option using which attendees were interacted with researchers to know more about their research.

Engagement of the attendees:

To engage attendees during the event, there are multiple features we have provided to the UPJ. Using these features attendees had interacted during the event.

A. Q&A: With this attendees asked questions to the speakers via chat.

B. Common chat: A common chat group was provided to the attendees using which they have interacted with each others.

C. Reactions: Attendees sent their reactions to the sessions using the reaction emoticons.

D. Polls: Organizers sent the polls to engage attendees. UPJ used this feature to get valuable insights from the attendees. UPJ used polls feature for sending surveys and feedback.

Parallel sessions throughout all four days:

As per the requirements from the UPJ, parallel sessions to be conducted during all the 4 days of the event. With Vibo’s multiple auditoriums capability, we have fulfilled UPJ’s requirement. Using the multiple auditoriums feature, they have added 3 auditoriums in the event allotted different sessions to them.

Here attendees had the free hand to attend the sessions which they are interested in.
